When this link is created, it may use a relative path. With a relative link, you can move the workbooks without breaking the link. This article discusses how the references to linked workbooks are stored by Excel in different circumstances.

More Information. How link paths are handled when a file opens When Excel opens a file that contains links linked workbookit combines the portions of the links stored in the file with the necessary portions of the current path of the linked workbook.

How link paths are stored When Excel stores the path to a linked file, it uses the following rules to determine what to store. Note Moving up a path indicates that you are referring to folders moving away from the root drive or share. Moving down a path indicates that you are moving closer to the root drive or share. If the linked file and the source data file are not on the same drive, the drive letter is stored with a path to the file and file name.

If the linked file and the source data file are in the same folder, only the file name is stored. If the source data file is located in a folder that is nested in the same root folder as the linked file, a property is stored to indicate the root folder.

All portions of the path that are shared are not stored. If the source data file is one folder down from the linked file, a property is stored to indicate this. Note This allows a link to be maintained when the linked file is copied to an additional sub folder of the folder that the source file is located in.

If the source data file is located in the XLStartAlternate Startup File Locationor the Library folder, a property is written to indicate one of these folders, and only the file name is stored. Note Excel recognizes two default XLStart folders from which to automatically open files on startup.

If you use the XLStart folder that is in the Office installation folder, that XLStart folder is treated like any other folder on the hard disk. The Office folder name changes between versions of Office. For example, the Office folder name is Office, Office10, Office11 or Office12, depending on the version of Office that you are running.

This folder name change causes links to be broken if you move to a computer that is running a different version of Excel than the version in which the link was established. It is also important to note that what appears in the formula bar is not necessarily what is stored. For example, if the source data file is closed, you see a full path to the file, although only the file name may be stored. Relative vs. This means that the full path to the source data file is not recorded, but rather the portion of the path as it relates to the linked workbook.

With this method, you can move the workbooks without breaking the links between them. The links remain intact, however, only if the workbooks remain in the same location relative to each other.

Relative links may cause problems if you move the linked file to different computers and the source is in a central location. Mapped drives vs.This tutorial will demonstrate how to use relative references in Microsoft Excel Formulas.

Microsoft Excel allows users to create formulas for three different kinds of cell references: absolute, relative, and mixed. By placing a dollar sign before A or 4 that column or row becomes fixed. Adjusting the contents of the column or of the row can change the output of the formula. Absolute cell references do not change when a formula is copied from one cell to another.

Placing a dollar sign before either the row or column fixes the row or column so it will not be changed in the formula. We want to transfer the contents of cell A1 over to cell B1 using a relative reference. For example:. The contents of cell A1 are now in cell B4 by means of using a relative reference formula.

The formula appears as follows:.

If we add 2 to cell A1 so that it isthe result of our relative reference formula in B5 changes automatically. Using relative references in Excel can be extremely beneficial because they reduce the amount of labor and adjustments the user has to make in order to get the results needed. As formulas become increasingly complex in your Excel spreadsheet you will find all the more use for effectively employing relative reference formulas, as well as absolute and mixed cell reference formulas.

I am producing a sheet to calculate prices. The sheet has to have a reference to several other workbooks to get the prices for different components. This works fine on my computer but when I move them to the server or another computer, it can't find the references. On my computer it builds the references with an absolute path, so when I copy the files the path stays fixed to my machine, instead of referencing the the files on the other PC.

I would not want to use VBA for this as people don't tend to trust Macros and then complain the functions don't work. The only solutions that I've seen to organize the external files into sub-folders has required the use of VBA to resolve a full path to the external file in the formulas.

Here is a link to a site with several examples others have used:. Alternatively, if you can place all of the files in the same folder instead of dividing them into sub-folders, then Excel will resolve the external references without requiring the use of VBA even if you move the files to a network location.

A1 with no folder names to traverse. Concatenate the directory path name found in step 3 with the name of the file, the name of the worksheet, and the cell reference that you want to access. Note: these same steps can also be used to access cells in files whose names are created dynamically.

In step 4, use a text string that is dynamically created from the contents of cells, the current date or time, etc.

It will be saved in some other absolute pazth on target system, but linkage works again in new absolute path because it was coded relatively to subtree root. Each externally referenced excel file were in their own folders with same name. These sub-folders were only to create more clarity. Copy pasted the above formulas into all the five worksheets.
